The Senior Administrator will be responsible for administrative duties across all Twinkle Totz locations.
Purpose of the Job:
· To cover administrative and financial administration duties for all locations.
· To be responsible for correspondence and telephone calls
· To liaise with outside agencies, other professionals and Children’s Centres.
· To take a shared responsibility for the safeguarding of all children in the nursery.
· To give support to other personnel within the nursery.
Main duties:
· To implement policies and procedures to ensure the Practice Guidance and Statutory Framework of the Early Years Foundation Stage are met. To register children into the Nursery, show parents around, and, post day 1, ensuring relationships are maintained by having daily contact with children and families.
· To prepare and issue invoices, collect fees and chase bad debts (where relevant), and to ensure fee payments are securely locked away.
· To maintain and update Nursery payment statements, and ensure financial reconciliation is performed regularly.
· To keep files accurate and up to date, i.e. Health & Safety Files, Safeguarding and The Policies and Procedures Folder, and ensure all files are kept secure.
· To set up and manage all administrative staff records, including holidays, sick periods, and, contracts of employment.
· To input to and initiate the monthly payroll with the 3rd party online provider.
· To operate an online DBS check for all staff.
· To be responsible for all correspondence and e-mails.
· To work with external agencies, where relevant recruiting for the Nursery or to manage job advertisements via our selected job portals.
· To evaluating feedback and parent questionnaires, as appropriate.
· To manage our communication channels and social media outlets including facebook, Instagram and our website, ensuring a professional and robust approach to the representation of the business.
· To work with Local Authorities on funding, providing termly figures for all settings, and ensuring funding claims are made by deadlines. To complete a Yearly Census for all settings.
· To work confidentially with the Local Authority CIN and Social Services.To provide input to tenders for any Expressions of Interest that TwinkleTotz may undertake.
· To be involved in OFSTED visits, ensuring records are up to date and relevant, and offer any other support required.
· To carry out spot checks in the Nursery to ensure standards are high and hygiene is always maintained to a high standard.
· To carry out any training suggested by Manager/Directors to support Continuous Professional Development (CPD).
· To ensure Estart data entry is kept up to date.
· To support other sites in case of staff sickness.
· To attend and/or minute meetings as required.
· To liaise with Nursery Managers to ensure locations are equipped with stationery and supplies.
· Treat all staff, children and parents with courtesy, kindness and professionalism at all times.
· Be prepared to undertake any other appropriate ad-hoc duties as required.
· To actively promote and support the safeguarding of children and young people in the workplace, ensuring setting policies and procedures are observed at all times.
· To update Directors regularly on current or ongoing issues.
· To uphold the Reputation of the Company, at all times.
