Kings Castle Montessori Nursery Finance and Administration Officer: Job Context & Purpose:

The Finance and Admin Officer role is a permanent, part-time position (25-35 hours per week) with some flexibility on working hours. The position is based at Kings Castle Montessori Day Nursery in Tuckton, BH23 but also involves admin work for Jack and JIll Nursery.  Kings Castle is a busy nursery and the candidate must be able to work within a busy office environment. Kings Castle is part of a group of 3 nurseries and many of the duties and responsibilities apply to all 3 nurseries.  The finance officer will report directly to the company directors and work closely with the nursery managers and senior staff.

Main Responsibilities:

1.  Day-to-day accounting, online banking and financial reconciliation

2.  Payroll and auto-enrolment

3.  Invoicing and credit control for nursery fees

4.  Financial reporting including monthly P&L’s, annual budgets and forecasts

5.  HR support including administration of contracts, holiday entitlement, sickness, etc

6.  General administration and financial duties

Maintain day-to-day accounting using Sage and online banking.

2.  Registration of children using nursery management software Famly, maintain accurate bookings to enable correct monthly invoicing of fees.

3.  Early Years Funding administration, providing information and forms to parents, making termly claims and adjustments on the BCP Council portal, resolving queries.

4.  Liaising with families, resolving account queries, chasing outstanding payments, allocating payments to nursery management software and Sage accounts.

5.  Supplier payments, coding invoices and processing on Sage.

6.  Monthly bank reconciliations.

7.  Producing monthly management reporting and analysis.

8.  Annual budget setting, fee increases, wage increases.

9.  Monthly payroll circa 65 staff, submissions, auto-enrolment administration, posting journals, maintaining staff attendance/holiday entitlement.

10.  Petty cash and credit card reconciliation

11.  Maintaining utilities contracts, annual insurance and subscriptions.

12.  Maintaining log of tablets and laptop issued to staff

13.  All other administration duties, filing etc.

14.  Answering emails and telephone calls

15.  Continue to develop, update and maintain financial procedures, record keeping and software applications.

16.  Reporting to Director, working closely with nursery managers

Skills / Qualifications:

  • • Financial administration experience in a busy and demanding environment - essential • Experienced in use of Sage accounts and Sage payroll - essential • Proficient in use of Microsoft particularly Excel - essential • Experience of working in the Early Years education sector - preferred • Experience in handling Early Years Funding claims - preferred • AAT qualified (or equivalent) - preferred • Analytical with high attention to detail • Highly organised and able to prioritise own workload • Able to work accurately under pressure and in a busy environment • Ability to use own initiative and pro-active in solving problems • Excellent communication and team-working skills • High degree of common sense and a cooperative and positive approach • Willing to work flexible hours when required
